Entrovox, Inc. (“Entrovox,” “we,” “us”) operates an AI-powered outbound calling platform for property and casualty insurance agencies. This Privacy Policy describes how we collect, use, disclose, and protect information when you use our platform and services (“Service”).
2. Information We Collect
2.1 Account Information
When you create an account, we collect your name, email address, organization name, and password. If you sign in with Google OAuth, we receive your name and email from Google.
2.2 Lead Data
Your organization uploads or ingests lead data into the Service. This may include prospect names, phone numbers, email addresses, mailing addresses, insurance details (property type, vehicle information, current coverage), and other information provided by lead vendors. You are the data controller for lead data — Entrovox processes it on your behalf to provide the Service.
2.3 Call Data
When the Service places calls, we collect call metadata (duration, timestamps, disposition, caller ID), call recordings, AI-generated transcripts, and qualification results. Call recordings are stored in tenant-isolated storage buckets.
2.4 Usage Data
We automatically collect information about how you interact with the Service, including pages visited, features used, browser type, IP address, and device information. We use this data to improve the Service and diagnose technical issues.
3. How We Use Your Information
- Provide, operate, and maintain the Service
- Place outbound calls to leads and qualify prospects using AI voice agents
- Record and transcribe calls for quality assurance, compliance, and training
- Generate analytics, dashboards, and reports for your organization
- Enforce TCPA compliance, DNC list scrubbing, and calling-hour restrictions
- Process payments and manage your subscription
- Send transactional communications (account confirmations, billing notices, service updates)
- Improve the Service, including AI model performance and voice agent quality
- Detect and prevent fraud, abuse, and security incidents
4. Data Sharing and Disclosure
We do not sell your personal information. We may share data with:
- Service providers: Third-party vendors that help us deliver the Service, including telephony providers (for call routing), cloud infrastructure providers (for hosting and storage), speech-to-text and text-to-speech providers (for AI voice processing), and payment processors
- Within your organization: Users within your Entrovox organization can access shared data (leads, calls, analytics) according to their role permissions
- Legal requirements: When required by law, subpoena, court order, or government request, or to protect the rights, safety, or property of Entrovox, our users, or the public
- Business transfers: In connection with a merger, acquisition, or sale of assets, your data may be transferred to the successor entity
5. Data Retention
Account information is retained for the duration of your subscription and for a reasonable period afterward to comply with legal obligations. Lead data and call recordings are retained according to your organization's settings and applicable regulatory requirements. You may request deletion of your data by contacting us. Upon account termination, you have 30 days to export your data before it is permanently deleted.
6. Data Security
We implement industry-standard security measures to protect your data, including encryption in transit (TLS) and at rest, tenant isolation for call recordings and lead data, role-based access controls, and regular security assessments. While we strive to protect your data, no method of electronic transmission or storage is 100% secure.
7. AI and Automated Processing
The Service uses artificial intelligence to conduct voice conversations, qualify prospects, and generate transcripts and analytics. AI voice agents disclose their AI nature at the beginning of every call. Call recordings and transcripts may be used to improve AI model performance, but your organization's data is never used to train models for other customers. You may opt out of model improvement by contacting us.
8. Cookies and Tracking
We use essential cookies to maintain your session and authentication state. We may use analytics tools to understand how the Service is used. We do not use third-party advertising trackers.
9. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to or restrict certain processing activities
- Export your data in a portable format
- Withdraw consent where processing is based on consent

10. Children's Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
